When it comes to compliance and inspections, there are two concepts that are often confused – assurance and evidence.
Put simply:
- Assurance is the feeling
- Evidence is the paperwork
Most practices focus heavily on the paperwork – policies, audits, logs, and records. And yes, these are absolutely essential. But here’s the problem:
Having the evidence isn’t enough if you don’t know it’s there.
“We Don’t Have Anything…”
This is something we hear all the time when working with practices:
“We don’t have anything.”“We’re not doing anything.”“There’s nothing in place.”
But when we start digging a little deeper, a different picture emerges.

…then when you’re sitting in front of a CQC inspector, you won’t feel assured.
And that lack of assurance shows.
Even if the evidence technically exists, you may struggle to:
- Answer questions clearly
- Demonstrate how your systems work
- Show consistency and oversight
Building Assurance, Not Just Files
True assurance comes from understanding, not just documentation.
As you begin to:
- Review what’s already in place
- Organise and structure your systems
- Fill in any genuine gaps
- Connect your work to compliance outcomes
…something powerful happens.
You move from:
“We don’t have anything…”
to:
“Actually, we’re doing a lot — and we can evidence it.”
Yes, There Will Be Gaps — And That’s Okay
Of course, when you take a closer look, you will find gaps.
That’s normal.
The goal isn’t perfection – it’s:
- Visibility
- Structure
- Continuous improvement
By identifying and strengthening those areas, you’re not just preparing for inspection – you’re building a more resilient, well-run practice.
The Bottom Line
Paperwork (evidence) is essential – but it’s only half the story.
Assurance comes from knowing your systems, understanding your processes, and being able to confidently talk about them.
Because when the inspector asks the question, it’s not just about whether the evidence exists…
…it’s about whether you know it does.
